The Virginia Society of Certified Public Accountants (“VSCPA”, “we”, “us” or “our”) is committed to protecting the privacy and security of your personal information. This privacy policy and terms explain how the VSCPA collects and processes your personal data. Each time you use our website, engage with our services or communicate with us, the current version of this policy will apply. 

“Personal data” is any information that enables us to identify you, directly or indirectly, by reference to an identifier such as your name, identification number, location data, online identifier, or one or more factors specific to your physical, physiological, genetic, mental, economic, cultural or social identity.

For the purposes of the General Data Protection Regulation 2016/679 (“GDPR”), the Data Controller is the Virginia Society of Certified Public Accountants registered in the Commonwealth of Virginia USA with a registered address at 4309 Cox Road, Glen Allen, VA 23060. VSCPA Senior Vice President, Strategy & Innovation, Tina Bates is staff responsible for overseeing questions related to these policies and GDPR. 

Collection of personal data 

Personal data that you give us: 

  • Contact Information: Name, email address, postal address, phone number, professional and certification details, membership number, and payment information (processed in compliance with PCI data security standards) used for membership, event registrations and other purchases. We do not rent, sell or lease email addresses to any third party without your consent.
  • Event & Program Registration: Preferences, dietary requirements, affiliations, and related survey responses. 
  • Communications: Correspondence via email, phone, web chat or forms, including inquiries, support requests, and feedback. You may opt out of VSCPA communications at any time.
  • Online Communities & Directories: Profile details that you choose to share in password-protected areas (e.g., Connect online community), in public directories or social media platforms.  

Personal data we collect from you: 

  • Website Analytics: IP address, device type, browser type, page views, session duration, referral URLs, and clickstream data, collected via cookies and similar technologies. 
  • Cookies & Tracking Technologies: We use cookies, web beacons and analytics to personalize your experience, improve our website, and measure performance. You may manage cookie preferences through your browser or our cookie consent tool.  

Personal data we collect from others: 

  • We may receive information about you from publicly available and third-party databases or services that provide information about business people that we believe will help us provide products and services that may be of interest to you. We will obtain your consent before contacting you if required by the law. 

Non-personal data we collect: 

  • All information from general visitors to the website is anonymous and does not contain any personal data. We collect information that is sent to us automatically by your web browser and we may use this information to generate aggregate statistics about visitors to our website. This information is used to analyze trends for business purposes such as providing customer service, fraud prevention, market research and improving our website. Third-party disclosures 

We partner with trusted third parties and other affiliates to provide specific services or programs as approved by the VSCPA leadership.  

  • Service Providers: We share only the personal data necessary with trusted vendors (e.g., payment processors, event platforms, email service providers), who are contractually obligated to maintain security, confidentiality and limited data usage. 
  • Affiliates & Partners: Only with your consent, we may share information with third parties who deliver cobranded or partner services (e.g. VSCPA chapters, sponsors). 
  • Legal Obligations: We may disclose personal data as required by law to comply with legal obligations or to respond to valid governmental or court orders, providing only the minimum data required.  

Links to third parties 

Our website may contain advertisements and links to third party websites, applications and services not operated by us. These links are provided as a service and do not imply any endorsement by us of the activities or content of these sites, applications or services nor any association with their operators. The VSCPA is not responsible for the privacy policies or practices of any third party including websites or services directly linked to our website. We encourage you to review the privacy policies of any third party site that you visit from our website. 

Unless they have prior written permission from us to do so, third parties (i) are not permitted to advertise in any way that suggests that we have any relationship or affiliation with a third-party website or that we endorse, sponsor or recommend the information, products or services on such website; (ii) cannot use any of our names, logos, designs, slogans, product trademarks or service marks in any advertising, publicity, promotion or in any other commercial matter; and (iii) cannot use any of our names, logos, designs, slogans, product trademarks or service marks, or any other words or codes identifying the VSCPA website, in any "metatag" or other information used by search engines or other information location tools to identify and select websites.

We use cookies to provide you a safer, customized and efficient experience. By using the VSCPA website, you consent to the use of cookies; however this consent can be withdrawn at any time.

We implement appropriate technical and organizational measures to protect personal data. We use Secure Socket Layer (SSL) encryption on all forms that require submission through electronic data transfer. We perform regular security assessments and vulnerability scans. Your rights 

  • Correction and Removal: You can request access, corrections, updates or deletion of your personal information from your records by visiting your VSCPA Account page or by contacting us.
  • Opting Out: If you prefer not to receive communications from us, please let us know by clicking on the unsubscribe link within any email message that you receive, update your communications preferences by visiting your VSCPA Account page or contact us.
  • European Rights: You can object to processing of your personal information, ask us to restrict processing of your personal information, or request portability of your personal information.
  • California Rights:  If you reside in California, please contact us if you wish to have all personal data purged that was collected by VSCPA. Section 1798.83 of the California Civil Code requires select businesses to disclose policies relating to the sharing of certain categories of your personal data with third parties. You may also request information about our disclosures of certain categories of personal data to third parties for direct marketing purposes. Please contact us for that information.

Terms and conditions  

  • Dues payments: VSCPA membership runs May 1 through April 30. The deadline for payment is May 31 and membership dues are nonrefundable. If paying by credit card, we offer the option for automatic annual renewal and your card will be charged each membership year on or around May 1.   • Registration policies: The VSCPA provides continuing professional education (CPE), learning and networking events that helps individuals develop and grow professionally. Please visit vscpa.com/CPEPolicies for detailed registration policies, including our event code of conduct, usage of materials, model release, payment and refunds, and more. 
  • Connect online community guidelines:The VSCPA provides a members-only online community as a benefit of membership. Participation is voluntary and participants must follow our code of conduct policy which can be found at www.vscpa.com/CPEPolicies or connect.vscpa.com. Members may also opt out of directories and communications in the connect online community at any time by visiting connect.vscpa.com. 
  • Social media policy:Social media channels are provided as a service of the VSCPA and participants must follow our code of conduct policy which can be found at vscpa.com/CPEPolicies. The VSCPA accepts no responsibility for the opinions and information of others. The VSCPA disclaims all warranties with regard to information posted, whether posted by the VSCPA or any third party; this disclaimer includes all implied warranties of merchantability and fitness. In no event shall the VSCPA be liable for any special, indirect or consequential damages or any damages whatsoever resulting from loss of use, data or profits, arising out of or in connection with the use or performance of any information posted.
