Before the Event
- Representatives: Your sponsor level includes up to two company representatives each day. Please submit names of company representatives and dates attending by September 6.
- Electricity, etc.: If you need electricity, phone lines or high-speed internet access for your booth, you will have access to an outlet. Wi-Fi is complementary.
- Shipping: Because of limited storage space, Exhibitor may ship items to the Hotel no sooner than 3 days prior to the Show. There is no handling fee. If you plan to stay overnight, have boxes mailed to your attention and note your arrival date. If you are not staying overnight, clearly mark boxes with your company’s name and “Hold for VSCPA event on September 23-24, 2024.”

- Setting Up: Exhibit booths are located in the North Entry Foyer. Skirted, 6 ft. tables are provided. All booths must be set up by 7 a.m. on Monday, September 23. You may set up Sunday, September 22 from 4 – 5:30 p.m.
- Prize Drawing: Consider giveaways, which will increase the traffic at your booth. If you do have a prize drawing please let the VSCPA know and drawings will be held Tuesday during afternoon announcements. Please submit prize item description by September 6.

Dismantling should be completed by 5:15 p.m. To maintain the educational integrity of the program, sponsors are expected to set up and tear down during the established time periods unless previously agreed upon.
- Tips for Success:
- Have your booth installed by 7 a.m. on Monday, September 23.
- Have a representative at your booth during the breaks, lunch, and reception.
- Consider giveaways, which will increase the traffic at your booth.
- Do not dismantle your booth prior to 4:20 p.m. on Tuesday, September 24.
